Job Description

Lynker is seeking an Executive Support Specialist to provide comprehensive support to NOAA's Office of Response and Restoration's Directorate, ensuring seamless operations at a senior level. This role involves developing executive-level briefing materials, facilitating communication with leadership, and assisting with annual accomplishment summaries. Additionally, this position serves as the Executive Secretariat for the Diversity and Inclusion (D&I) Committee, and serves as the D&I Intranet curator. The incumbent also supports the Controlled Correspondence Coordinator and assists the Management Team with special projects as needed.

Duties of the Executive Support Specialist will include the following:

  • Provide Directorate support including travel, scheduling (meetings, briefings, travel details, and other calendar events as necessary), and general logistics coordination required for senior-level briefings.
  • Develop executive level briefing materials, procedures, and/or policies in coordination with the Director, Deputy Director, and Chief of Staff as requested. The incumbent will assist with the development of leadership briefing packets to prepare for senior-level engagements. The incumbent will also support the development of annual accomplishment summaries (mid and end of year) based on information provided by the director and with input from leadership.
  • Provide logistics support for OR&R staff in Silver Spring, MD, including local event coordination for out-of-town staff.
  • Provide consistent support with a high level of responsiveness and attentiveness during fast-paced situations.
  • Serve as the OR&R Diversity and Inclusion (D&I) Committee Executive Secretariat and Intranet Page Curator. The incumbent will be responsible for managing the schedule for all D&I Committee meetings and events as well as providing OR&R Staff with details about D&I events prior to the event dates. The incumbent will record detailed notes during meetings and coordinate with committee members to ensure all administrative needs are met. As the D&I Committee Intranet Page Curator, the incumbent will maintain all D&I related content and ensure that the content is updated and added frequently for OR&R staff.
  • Provide support with the Controlled Correspondence Coordinator. Tasking includes support of incoming/outgoing correspondence requests/actions and collaborating with the appropriate divisional POCs to respond to requests prior to the deadline. This task includes drafting correspondence, memos, and point papers based on information provided by the NOS Controlled Correspondence Unit.
  • Support the OR&R Management Team as backup Executive Secretariat and with special projects as requested.
  • Serve as the travel preparer for OR&R leadership.
  • Other duties as assigned.

The Ideal Executive Support Specialist will have the following qualifications:
  • Bachelor's degree and a minimum of 3 years experience as an executive administrative assistant.
  • Self-motivated, creative, and energetic with an ability to work well individually and cooperatively with a range of individuals.
  • Excellent written and oral communications skills.
  • Excellent organization skills and attention to detail.
  • Familiarity with formatting and drafting memorandums and other supporting documentation.
