Reporting to the Dean of Graduate Admission, the Assistant Director, Graduate Admission is responsible for supporting all facets of the graduate admission process. The Assistant Director plays a vital role in helping prospective graduate students navigate their admission journey from the first point of contact to becoming an enrolled student. The Assistant Director is responsible for creating and executing a multi-touch recruitment strategy for a select portfolio of graduate programs while building relationships and rapport with graduate students.

Recruitment/Enrollment

  • Manage a pipeline of inquiries, applicants, and accepted students to yield the class for assigned portfolio.
  • Conduct proactive outreach to prospective candidates via phone, email, text from point of inquiry through enrollment regrading: program benefits, admission process/requirements, and financial planning/scholarship information.
  • Present information about how the college may benefit the student's personal, academic, and professional goals and needs. Host and coordinate a variety of virtual/in-person recruitment events, including program information sessions, program webinars, and yield events
  • Manage the overall recruitment and event calendar for the graduate programs in your portfolio- including internal and external events such as programmatic webinars, interactive student sessions, yield events, college fairs, and professional conferences.
  • Assist in coordinating campus visits for prospective students including tours, interviews, class visits, and faculty meetings.
  • Actively evaluate the effectiveness of recruit strategy, seek new opportunities, and continuously prioritize efforts.
  • Collaborate with faculty to ensure programmatic materials are up to date, student handoffs are responded to, and applications are read in a timely manner and ensure a smooth enrollment process.
  • Select, train, and manage Graduate Student Ambassadors for each program.
  • This role will require some local travel for recruiting purposes in the U.S. and, as necessary, abroad.

Operations

  • Maintain recruitment information in the University's CRM, application, and student information systems to track metrics related to the enrollment life cycle, ensure that all events and leads are being recorded, and analyze recruitment data to determine the effectiveness of specific events and activities (ROI).
  • Support the processing of application files including, but not limited to, downloading and uploading application documents, sending files to academic program coordinators, and facilitating an expedient and efficient application decision process.
  • Provide support for the implementation and continuous improvement of the Graduate Admission CRM system.
  • Assist in the hiring and supervision of temporary and student workers.
  • Assist with the development and implementation of graduate admission policies and procedures.
  • Advise of policies and procedures that impact the graduate admission operation, particularly those that enhance customer service.

Event Planning and Execution

  • Assist in the planning of recruitment events including information sessions and Open Houses, both in person and online.
  • Organize and host on and off-campus visit events with prospective students and their families.

Additional Functions

  • Participate in various special projects or assignments at the direction of the Director.


Job Requirements:
  • Bachelor's degree required or equivalent year of experience
  • 2 years of professional work experience in customer service, recruitment, or related field required. Experience in student admissions preferred
  • Self-starter with excellent written communication, interpersonal communication and problem-solving skills
  • Confident public speaking skills
  • Strong customer service skills and the ability to engage with prospective students in a patient and positive manner
  • Strong organizational skills and the ability to follow through on tasks and requests
  • Ability to maintain multiple projects simultaneously and to prioritize tasks
  • Proficiency in using computer software and the ability to learn new software easily
  • Ability to travel is required
  • Possess capability of learning a variety of computer and other programs as needed
  • An ability and willingness to work beyond traditional work hours, on weekdays or weekends, as necessary to support the office's admission objectives including offsite events
  • Must hold and maintain a valid, unrestricted United States driver's license, with an insurable driving history.

Preferred Qualifications:

  • Master's degree preferred in communications, higher education administration, or a related field.
  • Previous marketing, sales, customer services, admissions or student advising/counseling experience preferred; related experience may be considered
  • Experience with using a CRM systems like Slate, Radius, Intelliworks, or TargetX.
