Job Function:

This is an entry-level clerical position responsible for the performance of clerical and routine administrative business assignments within the Economic & Workforce Development Center/Corporate College and primarily the Finger Lakes Workforce Development Center (FWD Center). The use of a personal computer for word processing and database manipulation and entry is an integral part of the position. The work also includes phone and face-to-face customer service for students, visitors, clients and staff. The work is performed with instructions regarding general objectives. The employee reports directly to and works under the general supervision of an administrative level staff member. Does related work as required.

Primary Functions:

  • Provides clerical support for members of the Finger Lakes Workforce Development Center (FWD Center) staff for forms completion and electronic filing related to programming within the FWD Center and Corporate College.
  • Acts as receptionist for the Finger Lakes Workforce Development Center (FWD Center) answering the main line for FWD Center, Corporate College, and fielding other inquiries, referring or responding to inquiries as necessary, greeting students, clients, visitors and guests.
  • Provides administrative support for Career Exploration and Community Outreach events.
  • Maintains and updates open enrollment registration and "Process Pending" folder in Campus CE.
  • Prepares billing alerts - letter of agreement and company registrations.
  • Processes purchase requisitions/orders, invoices, expense reports, etc.
  • Prepares Check Requests for refunds, reimbursements, memberships/subscriptions.
  • Processes payment source for students ACCES VR, Veterans, CSEA Partnership vouchers, etc.
  • Prepares Deposit/Receipt Form for Student Accounts, locate student "M" number for deposit, checks, credit cards, cash
  • Orders office supplies and equipment.
  • Assists in preparation of instructor and student materials and handouts.
  • Schedules meetings and use of departmental facilities, collaborating with other staff to ensure all parties are contacted, and scheduling conflicts are resolved.
  • Assists in supporting tours, workshops, ceremonies, special events, etc.
  • Operates standard office equipment, i.e. PC, Xerox copier, ordering supplies, and placing service calls as needed.

Secondary Functions:

  • May assist in directing clerical tasks of student employees or interns.
  • Performs other duties and responsibilities assigned by the Director, Workforce Projects and Operations, Economic and Workforce Development Center.

Job Requirements:

Required Qualifications:

Must currently hold the title of Office Clerk II OR be reachable on the Civil Service Eligibility list titled Office Clerk II OR meet the below minimum requirements for a provisional appointment, if offered;

  • MINIMUM QUALIFICATIONS: Graduation from high school or possession of an equivalency diploma, plus EITHER:
  • Graduation from high school or possession of an equivalency diploma, plus either:
  • (A) Two years of paid full time or its part time or volunteer equivalent office clerical experience; OR, (B) Graduation from a regionally accredited or New York State Registered college or university with an Associate's degree in Secretarial Science, Office Technology or a closely related field, plus one year of office clerical experience; OR, (C) Any equivalent combination of education and experience as defined by the limits of (A) and (B) above.
  • Proficiency in MS Office Suite, i.e., Word, Excel, Outlook.

Preferred Qualifications:

  • Customer service experience in corporate, education, retail, service, or equivalent.
  • Clerical experience in an academic setting.
  • Bilingual and able to read, write, and speak Spanish, or other languages, proficiently.

Job Type: Clerical

Hours: 8:45 a.m. - 4:45 p.m.

Salary: $38,638.57 - $49,412.74
